Job Description:

Zimmerman Associates, Inc. is seeking to hire Medical Administrative Specialists to support a contract pending award. If we are the successful bidder, we will be immediately staffing to fill the reference positions to support a worksite location in Bethesda, MD and we are currently seeking to hire candidates committed to the delivery of excellence service delivery to patients needing to connect with physicians for medical care. Essential Functions, Responsibilities & Duties of this position may include, but are not limited to: Accurately and courteously receiving phone calls and scheduling appointment-related requests. Placing calls directly to patients to schedule an appointment with Primary Care Manager or Specialty clinic. Properly documenting scheduled appointments, including attempts to schedule an appointment when reaching out directly to patient as well as any appointments declined by patients in customer's proprietary database. Reviewing patient demographics in customer's proprietary database. Determining appointment needs based on established protocols in advance of booking an appointment. Verifying patient eligibility status in customer's proprietary database (Composite Health Care System (CHCS), Enterprise-Wide Referral and Authorization System ( EWRAS), and Defense Enrollment Eligibility Reporting System (DEERS.) Providing clinic appointment access, Telephone consults (T-cons) to doctors and administrators. Searching all Military Treatment Facilities (MTFs) in CHCS for possible Right of First Refusal (ROFR) acceptance, based on clinic guidance and availability of appointments. Searching all MTFs for capability, based on clinic guidance and available appointments within CHCS. Referring patients to appropriate MTF and provide advice on location of clinics. Correcting demographic data, by performing a mini registration update in DEERS (as necessary). Initiating calls to patients to process waitlist requests. Compiling information into statistical reports. Spot checking scheduled appointments. Prioritizing beneficiary appointments to be scheduled in accordance with Tricare Access to Care Standards and written guidelines. Maintaining an elevated level of accuracy and proficiency, ensuring less than 1% appointment booking error rate. Conducting a DEERS eligibility check on 100% of patients who request an appointment. Verifying and documenting eligibility of each patient to whom services are scheduled. Directing all questions regarding beneficiary eligibility to the Chief, Patient Administration Division (PAD) at the MTF. Gathering demographic data information and entering it into the patient's authorized record of medical treatment, AHLTA. Forwarding telephone consults to designated triage nurse for PCM immediately following the completion of T-con. Maintaining communication with appropriate staff and collaborate closely with technical staff to ensure efficient operation. Performing miscellaneous administrative duties as assigned Upon request, provide occasional value-added support by assuming Medical Administrative Specialist Lead responsibilities. Job Requirements: ns to suEducation, Work Experience, Knowledge, Skills & Abilities: Associate degree or a minimum of 4 years of experience in health care administration, business, information management or related field. Ability to read, write, speak, and understand English Prior experience using CHCS and AHLTA Knowledge of medical terminology Knowledge of Health Insurance Portability and Accountability Act (HIPAA) requirements Meticulous Commitment to accuracy and proficiency that yields less than 1% appointment booking error rate Demonstrated knowledge of standard office administrative practices and procedures, including the use of standard office equipment to accomplish clerical, statistical and data entry tasks in support of the administrative work of the office Superior customer service and organizational skills Knowledge and prior use of Microsoft Suite of products, to include Outlook (e-mail). Familiarity with internet required. Strong verbal and written communication skills and ability to exercise sound judgment -- - This position supports a Federal Government Contract and the successful candidate will need to show proof of full vaccination against COVID-19 to meet eligibility requirements.
