Responsibilities:
- Provides analysis and advisory services regarding management functions. - Work with Program staff to gather and analyze information about processes and programs; prepare reports, letters, and other documents for review and input for programs, policies, and activities - Set up and format spreadsheets to analyze information - Prepares a variety of management and administrative studies to analyze and evaluate internal procedures, policies, processes and systems for the purpose of improving efficiency. - Analyze and evaluate proposed changes in operating procedures and draft standard operating procedure and - Work with Program staff to gather and analyze information about processes and programs; prepare reports, letters, and other documents for review and input for programs, policies, and activities - Compose correspondence requiring understanding of technical matters within the program as directed by program staff - Reviews and comments on new or proposed changes to existing policies, procedures or systems. - Conduct assessments of standard operating procedures (SOP) and prepares recommendations for improvement. - Evaluate operations against standard operating procedures (SOP) and document gaps or inconsistencies in performance. - Observe operations and documents standard practices and develops new standard operating procedures (SOP) and instructions. - Prepares reports in the areas of budget, procurement, HR, travel, etc. - Review operational and programmatic budget data and provide analysis of obligation and spending. - Coordinate the preparation of a variety of items such as travel requests, professional service orders, requests for sponsored travel Form 348, outside activities Form 520, official duty memoranda, training requests, office procurement orders, individual and mass mailings, correspondence, reports, and various forms - Register for conferences; arrange business travel for Neurogenetics Cluster staff transportations and hotels and process reimbursements for cluster members - Read outgoing correspondence for executive levels approval and alert writers to any conflict with the file or departure from policies or executive levels viewpoints; make recommendations to resolve problems that arise - Reviews policy and regulation that governs the activities performed in the program. - Monitor compliance with program policies and procedures; identify strategies to ensure that program and contractual compliance is maintained For example: identify publications in grant progress reports and verify acknowledgment of NIH support in publications - Maintain file systems for correspondence and projects - In the executive levels absence, ensure that requests for action or information are relayed to the appropriate staff; decide whether executive level should be notified of important or emergency issues - Prepares reports and presentations for meetings. - Attend routine staff and business meetings for awareness and to take notes for distribution. - Assist staff prepare briefing and presentation materials for presentation at meetings. - Capture meeting minutes and prepare final documentation for distribution to participants. - Draft reports for review and discussion at working groups and meetings. - Present information and status updates on projects and studies ongoing within the organization. - Arrange for staff member to represent organization at conferences and meetings; establish appointment priorities; reschedule or refuse appointments or invitations - Note commitments made by executive level during meetings and arrange for staff implementation

Qualifications:
Required Skills: - Bachelors degree in Biology, Biological Sciences, Neuroscience, or similar. - Certifications & Licenses (desired): Certified Administrative Assistant - Calendaring - Travel planning - Meeting coordination - Meeting minutes/summary reports - Executive level support - Expense reconciliation, project management/planning, timekeeping, fellowship program management - Social Media, knowledge of the Federal Travel Regulation - Project management, website content management - Outreach Activities - Data analysis
